Small Tweaks, Big Wins: Everyday M365 Wins That Add Up

 

Most improvements in how people work aren’t big or dramatic. They’re small things - the kind that save a few minutes here and there, make something easier, or remove a bit of frustration. But when those things happen every day, across a whole team, they add up quickly.

In my experience working with small-medium sized businesses, the biggest productivity gains don’t come from massive rollouts or complex change programmes. They come from simple habits inside the tools people already use.

Take Outlook, for example. Creating a couple of quick rules to sort newsletters or low-priority emails can instantly declutter your inbox. Pair that with flags or categories, and suddenly you’re spending less time searching and more time acting.

In Teams, something as simple as pinning your most-used channels can save dozens of clicks a day. And don’t underestimate the power of using @mentions properly -  it cuts through noise and gets the right people involved faster.

Over in OneDrive and SharePoint, syncing key libraries or marking documents as favourites makes finding content far less painful. No more digging through folders or asking, “Where was that file again?”

And here’s a favourite: use the search bar. Seriously. Microsoft 365 search is far smarter than most people give it credit for -  whether you’re finding files, conversations, or even people.

None of these are “transformational” changes on their own. But they’re practical, low-effort tweaks that make your workday smoother - and that’s where real productivity lives.

Start small. Pick one. Build the habit. Then add another.
